Privacy Policy

This Privacy Policy explains what information Znole Technology collects when you apply for a Znole Freelancer ID Card, how we use it, who we share it with, how long we keep it, and the rights you have over it. If you have any question about this policy, write to [email protected].

1. Who we are

Znole Technology Private Limited (CIN U58201UP2025PTC235150) is the data fiduciary for all personal information collected in connection with the Znole Freelancer ID Card. The card is issued through Znole X, which is operated by the same company. We are based in Varanasi, Uttar Pradesh, India.

2. Information we collect

We collect information only for identity verification, card issuance, delivery, and maintaining a public identity record.

  • Identity. Full legal name, date of birth, and photograph.
  • Contact. Mobile number, email address, and complete delivery address.
  • KYC documents. Scans of the identity documents you upload for verification. These are stored in encrypted form.
  • Video KYC. Live face captures recorded during Video KYC, used to verify identity against your uploaded photograph.
  • Professional details. Service category, skill area, and other profile information you submit.
  • Payment reference. Transaction identifiers from the payment gateway. We never store your card number, CVV, or banking credentials.
  • Technical information. IP address, device type, and browser information at the time of submission. Used only for fraud prevention and audit.

3. How we use it

Each category of information serves a specific purpose:

  • To verify your identity through KYC review, Video KYC face-matching, and document validation.
  • To generate the unique ID number, QR code, and verification page for your card.
  • To produce and personalise the physical card.
  • To arrange delivery to the address you provided.
  • To operate the public verification portal, which displays only your name, ID number, category, city, and verification status. No contact details or documents are shown.
  • To communicate with you about the application, delivery, replacement, and administrative matters.
  • To investigate fraud complaints raised against you, following the procedure in the Terms of Service.
  • To maintain audit records for internal compliance and regulatory reporting.

4. What we never do

  • We never sell, rent, or license your information to anyone.
  • We never share your information with advertisers, marketing companies, or data brokers.
  • We never use your information to build a profile for targeted advertising.
  • We never expose your documents, Video KYC captures, or contact details on public pages.
  • We never share your information in response to informal or private requests, from anyone.

One exception: We share information with Indian government authorities, courts, or law enforcement only when we receive a valid legal order, and only to the extent that order requires. Where the law permits, we notify you of the request.

5. Security

Your information is stored on servers hosted in India. We use reasonable technical and organisational measures to protect it:

  • Encryption of sensitive fields at rest, and TLS for all data in transit.
  • Role-based access controls limiting access to authorised personnel on a need-to-know basis.
  • Audit logs recording who accessed which records and when.
  • Regular review of access rights and prompt revocation when no longer required.
  • Rate limiting and abuse-detection systems on public-facing endpoints.

No system is perfectly secure. If a breach affects your information, we will notify you and the relevant regulatory authority within the timelines required by law.

6. How long we keep it

  • Active cardholders: Information is retained while your card is active.
  • Suspended or terminated cards: Retained for five years from the date of suspension, for audit and compliance, then securely deleted or anonymised.
  • Rejected or incomplete applications: Retained for one year, then deleted.
  • Payment records: Retained as required by applicable financial and tax laws.
  • Legal holds: Where a lawful order requires longer retention, we preserve the information for the period the order specifies.

7. Your rights

Under the Digital Personal Data Protection Act, 2023 and related Indian law, you have the following rights:

  • Access. Request a summary of the personal information we hold about you.
  • Correction. Request correction of information that is inaccurate or out of date.
  • Erasure. Request deletion of your information, subject to any legal or audit obligations that require retention.
  • Withdraw consent. Withdraw consent for future processing where processing is based on consent. This will not affect processing that has already taken place.
  • Nominate. Nominate another individual to exercise these rights in the event of your incapacity or death.
  • Grievance redressal. Raise a concern with our Grievance Officer at any time.

8. Third-party service providers

We use a small number of third parties to operate the card process. They act only on our instructions, only for the purpose they were engaged for, and under written obligations to maintain confidentiality and security.

  • A payment gateway that processes the application fee. Card details are handled by the gateway; we do not see them.
  • Courier partners that deliver the physical card. They receive only your name, address, and phone number for delivery.
  • Cloud hosting and email service providers that support the platform.
  • Aggregated analytics and abuse-prevention services that operate on non-personal data.

9. Cookies

The Znole X website uses only the cookies required to keep your application session active, remember basic preferences, prevent abuse, and measure aggregated traffic. We do not use cookies for advertising or cross-site tracking. You can control cookies in your browser settings. Disabling essential cookies may prevent the application from working.

10. Applicants aged 16 to 18

The minimum age to apply is 16. For applicants under 18, information is processed with additional care and only for verification, card issuance, and delivery. We never profile or advertise to any applicant of any age. A parent or legal guardian may raise a grievance on behalf of an applicant under 18.

12. Changes to this policy

We may revise this Privacy Policy from time to time. Material changes are notified to active cardholders by email. The effective date at the top of this page always shows the current version. The version in force on the date you apply is the one that governs your application.

13. Governing law

This Privacy Policy is governed by the laws of India, including the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000. Any dispute is subject to the exclusive jurisdiction of the courts at Varanasi, Uttar Pradesh, India.
